Position Summary:
The position of Business Manager Assistant supports the General Manager and Business Manager within the Business Office, which interfaces and communicates with all other departments within the station, including Sales, Traffic, Production, Promotions, and Programming Departments as well as Advertising Agencies and clients.
The role of the Business Office is to manage the day-to-day operations of the stations including office management, accounting, financials and HR.
The purpose of the Business Manager Assistant is to support the efforts of station management in meeting the various deadlines and compliance requirements for daily operations.
Essential Duties and Responsibilities:
Cash
- Handle Petty cash and reconcile as needed
- Prepare spreadsheet for receivables as well as posting to Marketron
- Run bank deposits including credit cards and remote deposits
Accounts Payable
- Point of contact for all vendor inquiries
- Maintain vendor files in MAS 500 and ensure all new vendors have provided required
information (as needed) - Stamp Invoices with Receipt Date
- Ensure all monthly dues/rents are paid
- Cut and process Accounts Payable checks
- Scan copies of signed checks and file
- Prepare payments to be mailed out (stamping, attaching appropriate back-up, etc.)
- Data entry and filing of all invoices with payment stubs in AP cabinet
Accounts Receivable
- Apply Cash Receipts to Traffic
- Run cash receipts report as necessary and distribute to AEs and GSM
- Distribute AR Agings
- Coordinate Collections with Business Manager & AE’s and GM when necessary
- Prepare Client history analysis as required when discrepancies occur
- Assist Business Manager research any client balance inquiries
- Send out Invoices (weekly) and Statements (monthly) to clients
Monthly Close
- Coordinate all Insurance changes (Additions & deletions) with Business Manager
- Assist with Fixed Asset Copies for Corporate
Other
- Assist with1099 filings
- Maintain EEO job folders and assist with yearly report
- Back up Reception for lunch break and time off
- Help prepare all audit requests during Annual external audit
- Station Special Events
- Order office supplies
- Refill the postage meter
- Participate in EEO fairs
- Provide backup support for the Business Manager and other station support staff during vacations and other absences
- Other duties as assigned
Required Knowledge, Skills and Abilities:
- High School Diploma is required, an Associates or Bachelor’s degree is preferred
- Minimum of 3 years of professional experience providing administrative and accounting (AR/AP)
support is required, experience within the broadcasting industry is preferred - Strong MS Office skills (Excel and Word) is required
- Exceptional organizational skills
- Exceptional written and verbal communications skills (English required, Spanish a plus)
- Ability to work under deadlines and in a fast-paced environment
- Ability to prioritize daily routine and urgent tasks
